How to make a monthly budget
A practical guide to a monthly budget: start from what you really spend, set realistic caps per category and check your pace during the month — with a free app or by hand.
A monthly budget is a cap you decide in advance on how much to spend in a month — in total, per category, or both. It isn't about spending less at any cost: it's about deciding before where the money goes, instead of finding out at the end of the month.
1. Start from what you really spend
Most budgets fail because they describe how we wish we spent. Before setting a cap, look at one or two real months:
- record every expense for at least four weeks, even the coffee;
- or import your bank statement (CSV, Excel or PDF) instead of copying it by hand;
- group expenses into a few categories: housing, groceries, transport, leisure, subscriptions.
In CaliMoney the dashboard already shows what you spent per category and the trend of the last months: those numbers are your starting point.
2. Split fixed and variable costs
- Fixed: rent or mortgage, utilities, insurance, subscriptions. They barely change, so budgeting them is almost a formality.
- Variable: groceries, eating out, shopping, fuel. This is where a cap makes a real difference.
Costs that don't come every month (gifts, holidays, car tax, repairs) work better with a yearly budget: €600 a year for gifts is €50 a month to set aside.
3. Set realistic caps
A simple rule: for each variable category, take the average of the last few months and cut 10%. A small, sustainable cut holds; a 50% cut breaks by week two.
If you want a starting frame, the 50/30/20 rule splits net income between needs, wants and savings.
4. Check during the month, not only at the end
A budget you look at on the 31st is a report, not a budget. What helps is knowing mid-month whether you're on track:
- in CaliMoney a budget is set from Settings → Categories, Expenses tab, on the total or on a single category;
- the dashboard compares your spending with the month's pace;
- you get an alert when a category reaches 80% and 100% of its cap.
5. Review once a month
At the end of the month ask three things: where you overspent, whether the cap was unrealistic or something unexpected happened, and what to change next month. A budget improves with reviews, not on the first try.
